OneDrive is where a lot of real maintenance knowledge lives, whether anyone planned it or not. The reliability engineer's spreadsheet of bearing changes. The vibration report a contractor shared by link. The scanned OEM manual someone saved from a USB stick years ago. These files are useful, but they sit in personal and shared folders that only one or two people know how to navigate.
When that person is on leave, the knowledge is on leave too. Agentic CMMS connects OneDrive to Claude, ChatGPT and the other AI agents your team uses. Anyone with an approved agent can ask for a file by what it contains, not by where it was saved, and get an answer that cites the file it came from.
What your AI agent can do with OneDrive
- Search by content, not by folder. "Find the last thermography report for the main switchboard." The agent searches file names and contents across the folders you connected.
- Read a spreadsheet for you. "From the bearing log workbook, how many bearings did we replace on Fan F-3 this year?" The agent reads the sheet and counts the matching rows.
- List what was shared with the team. "Which files did the chiller contractor share with us this month?" The agent lists them with sender and date.
- Pull a page out of a manual. "What does the OEM manual for the air dryer say about filter change intervals?" The agent finds the PDF and quotes the relevant passage.
- Recover an earlier version. "Show me the previous version of the shutdown plan before Tuesday's edits." The agent reads the version history and gives you the older copy.
- Save a file to the right place. "Put this calibration certificate in the Instruments folder and name it after the tag number." With write access, the agent uploads and names the file.
- Tidy a handover pack. "Collect the latest procedures and drawings for the packing line into one folder for the new shift lead." The agent copies the files into a new folder and lists what it added.
OneDrive with your other systems
Files on their own answer half a question. Connected beside your other systems, the agent can finish it:
- Match the meter readings in an engineer's OneDrive spreadsheet against the readings already logged in MaintainX and flag the gaps.
- Find the service report a contractor sent by email in Outlook, save it to OneDrive and link it to the matching job.
- Move a draft procedure from a personal folder to the controlled library in Microsoft SharePoint once it is approved.
- Compare downtime figures in a shift lead's workbook with the dashboard in Microsoft Power BI before the monthly review.
Getting knowledge out of personal folders
OneDrive files are often the first draft of what should become a shared record. The agent helps you find them, check them and move them where the whole team can use them. Each person approves their own agent with read-only or read and write access, owners and admins choose who may upload or move files, and the activity log shows every file the agent touched.
