Microsoft SharePoint is where many organisations keep the documents that keep a plant running: standard operating procedures, lockout/tagout sheets, P&IDs, permits to work and as-built drawings. Sites and document libraries grow over the years, and every department builds its own. The result is familiar. Three copies of the same procedure, a folder called "Old, do not use", and a technician on night shift who cannot tell which version is current.
Search helps only when you already know the file name. Agentic CMMS connects SharePoint to Claude, ChatGPT and the other AI agents your team uses, so people ask for what they need in plain words. The agent searches across sites, reads metadata and version history, and gives back the right file with a short answer taken from its content.
What your AI agent can do with SharePoint
- Find the current procedure. "Get the latest lockout/tagout procedure for the Line 2 palletiser." The agent searches the document libraries, checks the version history and returns the newest approved file.
- Answer from inside a document. "What torque does the gearbox manual give for the output flange bolts?" The agent reads the manual and quotes the relevant section, with a link to the file.
- Check a permit register. "Which hot work permits in the site permit list are still open?" The agent reads the SharePoint list and filters it by status and date.
- Compare versions. "What changed between the last two versions of the boiler start-up SOP?" The agent opens both versions and sums up the differences.
- Track down drawings. "Find the as-built electrical drawings for Substation B." The agent searches by title, folder and metadata columns such as area and drawing number.
- Spot stale documents. "List the safety procedures in the EHS library that nobody has reviewed in two years." The agent sorts by modified date and review columns.
- File a document where it belongs. "Upload this inspection report to the Pump House folder and set the asset tag column to P-104." With write access, the agent adds the file and fills in its metadata.
SharePoint with your other systems
Documents matter most next to the work they describe. Connect SharePoint beside your other systems and one question can draw on both:
- Attach the current isolation procedure from SharePoint to every open work order for an asset in Fiix or IBM Maximo.
- Check that every corrective action raised in SafetyCulture has an updated procedure in the EHS library.
- Post a summary of a revised SOP to the maintenance channel in Microsoft Teams, with a link to the new version.
- Find the commissioning dossier for a compressor and its cost lines in SAP S/4HANA when you prepare a capital review.
Why the right version matters on the shop floor
An out-of-date procedure is not just untidy. It is a safety risk. The agent always tells you which version it read, when it last changed and who changed it, so a technician can trust the answer or check it in one click. Each person approves their own agent, owners and admins decide who may upload or change files, and every document the agent opens is recorded in the activity log.
