ServiceNow is the service management platform many large organisations use for IT, HR and facilities requests. Incidents, catalogue requests, change requests and problems flow through it, each with an assignment group, a priority and an SLA clock. In many companies it is also the front door for building issues: a broken lift, a hot meeting room, a leaking tap in the canteen. The maintenance work, though, often lives in a separate CMMS, and someone has to copy each request across and copy the answer back.
Agentic CMMS lets Claude, ChatGPT and other AI agents work with ServiceNow and your maintenance systems side by side. A facilities coordinator can ask for today's new building incidents, turn them into work orders and update every requester in one conversation.
What your AI agent can do with ServiceNow
- Sort the queue. "Show me the open incidents for the Facilities assignment group, highest priority first."
- Read a record in full. "Summarise INC0012345 with every comment and work note, oldest first."
- Keep requesters informed. "Tell the requester of the lift incident that an engineer arrives at 14:00." The agent adds a comment the requester can see.
- Record internal notes. "Add a work note that the contractor needs a hot works permit before starting."
- Reassign and resolve. "Move the HVAC requests from the service desk to the Building Services group."
- Watch SLAs. "Which facilities incidents breach their SLA in the next four hours?"
- Look up configuration items. "What does the CMDB say about the chiller serving Data Hall 2, and what depends on it?"
- Use the knowledge base. "Find the knowledge article on resetting the badge readers and send the steps to the requester."
ServiceNow with your other systems
- Create a work order in IBM Maximo or Fiix from a facilities incident, write the work order number back to ServiceNow, and resolve the incident with the technician's notes when the work closes.
- Check the room and floor in Planon when an incident names a meeting room, so the technician goes to the right place first time.
- Ask the agent to raise an incident for every building controller that Azure IoT Hub shows as offline.
- Let your team ask for a summary of their open incidents from Microsoft Teams without opening ServiceNow.
Where the service desk meets the plant room
In large organisations, ServiceNow is the one place everyone knows how to ask for help. Replacing it is never an option, and building a custom integration to every maintenance system is slow and expensive. The agent keeps that front door as it is and moves the work to the people who fix buildings and machines, then carries their updates back to the person who asked.
Each person approves their own agent. Owners and admins choose which roles may update records or post comments that requesters see, and every comment, note and state change is recorded in the activity log.
