Planon is integrated workplace management software used by large organisations, universities, hospitals, governments and facility service providers to run their real estate, space, workplace services and maintenance in one system. A single Planon environment can hold leases, floor plans, service requests, maintenance orders, assets and condition data for hundreds of buildings. That breadth is the point. It also means that answers come from several parts of the system at once.
Agentic CMMS gives your Planon environment an MCP server. Facility managers, real estate teams and service desks can ask Claude, ChatGPT or another AI agent questions that span maintenance, space and property. An approved agent can also log and update requests. You connect Planon once on the Connect page; the credentials are checked against your environment before they are saved.
What your AI agent can do with Planon
- Log a service request. "Report that the coffee machine on floor 4 of the Amsterdam office is broken." The agent creates the request with the building and location.
- See the maintenance backlog. "Which maintenance orders for the London campus are past their target date, by trade?" The agent groups the late orders by trade and shows how late each one is.
- Plan by condition. "Which assets were rated poor in the last condition assessment, and do they have planned maintenance?" The agent joins the assessment with the maintenance plan.
- Use space well. "Which floors in the head office had less than 40 per cent occupancy last month?" The agent reads occupancy per floor and ranks the floors from least used.
- Track leases. "Which leases end in the next 12 months, and what is the notice date for each?" The agent lists them in the order the notice dates fall.
- Check service providers. "How many orders did the cleaning contractor complete late this quarter?" The agent compares completion with each target date.
- Prepare a building review. "Summarise open orders, recent condition scores and planned works for the Rotterdam building."
Planon with your other systems
Planon is often one part of a larger corporate landscape. Connect the rest and one question can use it all:
- Match Planon maintenance orders with the cost centres and purchase orders in SAP S/4HANA.
- Book a meeting room in Outlook after checking Planon for rooms with working AV equipment.
- Send a request that is really an IT incident to ServiceNow and keep the link in Planon.
- Bring Planon occupancy and maintenance figures into the estate dashboards in Microsoft Power BI.
For large estates and shared services
Planon customers usually serve many users, from employees reporting a fault to real estate managers handling leases. Not everyone should see everything. Every person approves their own agent, owners and admins decide which roles may use each Planon tool and can block individual people, and every call goes into the activity log.
