Sage 50 is a long-standing desktop accounting package, best known in the UK and Ireland, where small manufacturers, engineering firms and facilities contractors have used it for years. It keeps the sales and purchase ledgers, nominal codes, departments and VAT returns in one place. People trust it. They are less keen on hunting through its reports to find out why the repairs code jumped last month.
Agentic CMMS lets an AI agent do that hunting. Your engineering manager can ask in plain English, and the agent reads the supplier invoices, nominal activity and departments in Sage 50, then explains what it found. The accounts stay where they are; the questions get faster.
What your AI agent can do with Sage 50
- Explain a jump in costs. "Why is nominal 7800 so high this month?" The agent lists the largest postings to repairs and renewals and names the suppliers behind them.
- Check a supplier account. "What do we owe Northern Compressors, and how old is it?" You get the outstanding invoices and their ageing.
- Split by department. "Show maintenance costs by department for the last quarter." The agent groups the postings by the departments set up in Sage 50.
- Find an invoice. "Did we get an invoice from Elite Lift Services for the January service visit?" It searches the purchase ledger by supplier, date and reference.
- Raise a purchase order. "Create a purchase order to Midland Bearings for ten 6205 bearings." With write access, the order goes into Sage 50 for approval.
- Post a supplier invoice. "Enter invoice 4471 from Ace Electrical for £1,260 plus VAT to plant repairs, department Press Shop."
- Prepare for VAT. "How much VAT did we reclaim on maintenance spend this quarter?"
Sage 50 with your other systems
- Compare the cost of reactive jobs in UpKeep with supplier invoices posted in Sage 50, machine by machine.
- Let Dext capture the paper invoices your engineers bring back, then ask the agent which ones have not reached Sage 50 yet.
- Link failed checks in SafetyCulture inspections to the repair invoices that followed, for an honest cost of each finding.
- Post a weekly summary of unpaid maintenance suppliers to Microsoft Teams for the works manager.
Small finance teams, many questions
In a business that runs Sage 50, the finance team is often one or two people. Every question from the shop floor lands on their desk. An agent that can read the ledgers on its own takes the simple lookups off their plate, and leaves them free for the work that needs judgement. If you also run Sage 200 in another part of the group, the same agent can read both.
Write tools are optional and controlled per role. Every lookup and every posting is recorded in the activity log, so your accountant can review what an agent touched.
