Dext, known in its early days as Receipt Bank, takes the paper out of bookkeeping. Staff photograph receipts, suppliers email invoices, and Dext extracts the supplier, date, totals and tax, then publishes them to Xero, QuickBooks, Sage and other ledgers. Accountants and bookkeepers in the UK, Australia and elsewhere build their practices around it.
For maintenance teams, Dext is where the evidence lives. The receipt for the emergency pump seal bought at 6am, the hire invoice for the scissor lift, the fuel for the generator: they all pass through it. Agentic CMMS lets an AI agent search that evidence and connect it to the job, so finance and maintenance stop chasing each other for paperwork.
What your AI agent can do with Dext
- Find a receipt. "Find the receipt Tom uploaded for the hydraulic hose last Thursday." The agent searches by submitter, date and supplier.
- Check what is stuck. "Which supplier invoices have been sitting in Dext for more than a week?" It lists items not yet published.
- Total by supplier. "How much have we spent with Northside Plant Hire through Dext this quarter?"
- Fix the coding. "Set the category on these three parts receipts to Repairs and Maintenance, project Line 2." With write access, it updates the items before they are published.
- Spot missing paperwork. "Which card payments for tools this month have no receipt in Dext?" Useful when your accounts system holds the card feed.
- Read the extracted details. "What VAT was on the generator hire invoice?" The agent returns the tax amount Dext extracted.
- Group by submitter. "How many receipts did each engineer submit last month?"
Dext with your other systems
- Publish to Xero or Sage 50 as usual, then ask the agent to confirm that each maintenance receipt landed on the right account.
- Attach the receipt for a part to the matching work order in UpKeep, so the job record shows what was bought.
- Match fuel and tyre receipts with vehicles in Fleetio to see the real running cost of each van.
- Check a receipt's total against the bill recorded in QuickBooks Online when the numbers do not agree.
Paperwork that follows the work
The hardest part of costing maintenance is often not the big invoices but the small receipts: the parts bought on the way to a breakdown. An agent that can read Dext puts those receipts next to the job they belong to, without anyone retyping them. Your month-end close gets shorter, and your cost per asset finally includes the parts bought in a hurry.
Each person approves their own agent and chooses whether it may change items. Owners and admins set which roles may use each Dext tool, and the activity log records every search and edit.
