Asana is a work management platform that operations, facilities and engineering teams use to run projects that sit outside the CMMS: site openings, energy-saving programmes, safety improvement plans, audits and the actions from every review meeting. Projects, tasks, subtasks, sections, custom fields and portfolios keep it organised. But when the plant manager asks how the programme is going, someone still opens ten projects and writes a summary by hand.
Agentic CMMS turns Asana into an MCP server for Claude, ChatGPT and other AI agents. Ask in plain language and the agent reads your projects, tasks and status updates, then answers or acts.
What your AI agent can do with Asana
- Report on a portfolio. "How are the projects in the 2027 energy reduction portfolio doing? Which are off track?"
- Find overdue tasks. "Which tasks in the warehouse racking project are overdue, and who owns them?"
- Turn notes into tasks. "From these audit notes, create tasks in the Fire Safety Actions project, one per finding, due in 30 days." With write access, the agent creates them.
- Read custom fields. "Which improvement ideas are marked High impact and Low effort but still have no owner?"
- Move work along. "Move the compressor leak survey task to Done and add a comment with the result."
- See a person's load. "What does Amira have due across all projects this week?"
- Plan an audit. "Build a project for next month's ISO 45001 internal audit, with a section per department and a task for each clause owner." The agent sets up the structure; you check it.
- Prepare the meeting. "List what changed in the site opening project since last Monday: new tasks, completed tasks and changed dates."
Asana with your other systems
Asana tracks the plan; your maintenance and communication tools hold the work. Connect them and one question can follow an action from start to finish:
- Create a work order in UpKeep for each Asana task tagged as maintenance, and link the two.
- When an improvement task in Asana is done, check whether the matching Fiix work orders are closed too.
- Post a daily list of overdue safety actions to the team channel in Slack.
- Attach the latest audit report from Google Drive to the Asana project it belongs to.
Continuous improvement that keeps moving
Improvement programmes stall when actions are written down and then forgotten. An agent that reads and updates Asana keeps them visible and makes the follow-up quick. Owners and admins choose which roles may use each Asana tool, each person approves their own agent with read-only or read and write access, and every action is written to the activity log. You can see later which agent created each task, and for whom.
