Many facilities, property and field service teams run on Google Workspace. Their maintenance checklists are Google Sheets, their procedures are Google Docs, and their contractor certificates are PDFs dropped into a shared drive. It works well until the drive holds a few thousand files and the question is "which version of the fire door checklist did we use at the Northgate building last quarter?"
Google Drive search finds words, but it does not know what your team means. Agentic CMMS connects Google Drive to Claude, ChatGPT, Gemini and other AI agents, so a site manager can ask a real question and get an answer drawn from the right Doc or Sheet, with a link to check it.
What your AI agent can do with Google Drive
- Read a checklist sheet. "In the weekly fire door Sheet for Northgate, which doors failed this month?" The agent reads the rows and lists the failed doors with dates and notes.
- Find a procedure in a shared drive. "Get the Doc that explains how to reset the lift after a power cut at the depot." The agent searches the shared drives and returns the Doc with the key steps.
- Check a contractor certificate. "Is the gas safety certificate for the Riverside site still valid?" The agent opens the PDF and reads the expiry date.
- Follow the revision history. "Who changed the legionella risk assessment last, and when?" The agent reads the revision history of the file.
- Summarise a folder. "What is in the Building C handover folder, and what looks missing?" The agent lists the files and compares them with your usual handover contents.
- Comment on a Doc. "Add a comment on step 4 of the chiller start-up Doc saying the valve was replaced in June." With write access, the agent adds the comment for the owner to review.
- Create a new Doc from a template. "Start a new incident report Doc for the car park barrier, using the standard template." The agent copies the template and fills in what it knows.
Google Drive with your other systems
Drive holds the paperwork. Your other systems hold the jobs and the numbers. One question can use both:
- Link the latest planned maintenance checklist from Drive to each matching recurring work order in UpKeep or Limble CMMS.
- Find a contractor's quote in Gmail, save the PDF to the site's shared drive and note the amount.
- Check that every inspection completed in SafetyCulture has its follow-up Doc filed in the right folder.
- Post the summary of an updated site procedure to the team space in Google Chat.
Made for teams that work across many sites
Multi-site teams often keep one shared drive per building or region. The agent searches across all of them at once, so nobody needs to remember which drive a file lives in. Each person approves their own agent, owners and admins decide who may create or comment on files, and every request is written to the activity log.
