Agentic CMMS

Gmail MCP server

Connect Gmail to Claude, ChatGPT and your other AI agents.

Connect Gmail to Claude, ChatGPT and other AI agents to find customer requests, supplier quotes and invoices, then draft replies or file attachments.

Gmail is the front desk of many small and growing service businesses. Customer requests come in by email. So do supplier quotes, invoices, delivery notices, warranty claims and photos from site. In a busy week the inbox becomes the to-do list, and the most important message is often the one buried under twenty delivery notifications.

Labels and filters help, but only when someone keeps them up to date. Agentic CMMS connects Gmail to Claude, ChatGPT and the other AI agents your team uses. The agent can read the inbox, find what matters, draft replies and pass the details to the systems where the work gets done.

What your AI agent can do with Gmail

  • Find new requests. "Which customer emails since Friday ask for a repair or a quote?" The agent searches the inbox and lists each request with name, address and fault.
  • Read a supplier quote. "What did the parts wholesaler quote for 20 thermostatic valves?" The agent finds the email, opens the attachment and reads the price.
  • Draft a reply. "Draft a reply to Mrs Patel offering Tuesday or Wednesday morning for the boiler service." The agent writes the draft for you to check.
  • Label as you go. "Label every invoice email from this month as 'To pay'." With write access, the agent adds the label to each thread.
  • Follow a warranty claim. "Where are we with the warranty claim on the faulty heat pump compressor?" The agent reads the thread and sums up the last reply and the next step.
  • Spot missed messages. "Which emails from customers this week have no reply from us yet?" The agent checks the threads and lists them.
  • Pull out attachments. "Find the site photos the property manager sent for the flat roof job." The agent finds the email and lists the images.

Gmail with your other systems

The inbox is where work arrives. Your other systems are where it gets booked, done and paid. Connect them:

  • Turn a customer's email into a job in Jobber or Housecall Pro, and reply with the booked time.
  • Match supplier invoices in Gmail with bills in QuickBooks Online or Xero and flag the ones not yet entered.
  • Save site photos and signed quotes from email to the customer's folder in Google Drive.

Ideal for the busy office of a service business

In a small business, the person who reads the inbox also books jobs, chases payments and answers the phone. The agent takes the searching and first drafts off their plate. Each person approves their own agent with read-only or read and write access, owners decide who may send mail, and the activity log keeps a record of every message the agent read or sent.

How it works

Live in minutes, not months

No integration project. Connect your system once, and everyone on your team brings their own agent.

  1. 1

    Connect your systems

Add your CMMS, ERP, accounting and other systems with their API keys. We check each one against the live system before anything is saved.

  2. 2

    Approve your agent

Each person adds the MCP address to Claude, ChatGPT or another agent and approves it with their own login. Read-only or read and write: their call.

  3. 3

    Ask in plain language

“What’s overdue on Line 3, and what will it cost?” The agent works across your systems for you, and every action is on the record.

FAQ

Gmail and AI agents: questions, answered

Can Claude turn customer emails in Gmail into jobs?

Yes, when you also connect your job management system. The agent reads the request, picks out the address and fault, and creates the job, then tells you what it created.

Can an AI agent use Gmail labels?

Yes. The agent can search by label and, with write access, add a label to a thread, for example to mark a request as booked or a quote as accepted.

Does ChatGPT send emails from Gmail automatically?

Only when a person asks it to and has approved write access. By default the agent writes drafts that you check and send yourself.
