Box is a common home for documents that must be kept, found and shown on demand. Manufacturers, utilities and life sciences firms use it for calibration certificates, equipment validation records, supplier quality files and contracts. Box keeps these files secure and shares them with outside parties under control. Finding the exact one an auditor asks for, though, can still take an afternoon.
The hard part is rarely storage. It is the question behind it: do we have a current certificate for every pressure gauge on Line 4? Agentic CMMS connects Box to Claude, ChatGPT and the other AI agents your team uses, so that question becomes one request instead of a hunt through nested folders.
What your AI agent can do with Box
- Gather evidence for an audit. "Find the calibration certificates for every instrument on the Line 4 list and tell me which have expired." The agent searches by tag number, opens each certificate and reads the dates.
- Filter on metadata. "Show the validation documents for autoclaves where the review date is in the next 60 days." The agent queries the metadata fields your team already fills in.
- Answer from a contract. "What response time does the HVAC service contract promise for a critical fault?" The agent reads the contract and quotes the clause.
- Check external sharing. "Which folders in the Supplier Quality area are shared with outside collaborators?" The agent lists the folders and who has access.
- Compare two revisions. "What changed in the latest version of the boiler validation protocol?" The agent opens both versions from the history and sums up the changes.
- Upload and tag a record. "Save this pressure test report to the Vessels folder and set the asset tag to V-210." With write access, the agent uploads the file and sets the metadata.
- Prepare a document request. "Create a folder for the insurer's site survey and copy in the latest fire system test reports." The agent builds the folder and lists what it contains.
Box with your other systems
Compliance records only prove something when they line up with the work. Connect Box beside your other systems:
- Check that every calibration work order closed in HxGN EAM has a matching certificate filed in Box.
- Compare the controlled procedures in MasterControl with the copies shared in Box, and flag any that are out of date.
- Find the supplier's quality certificate in Box before you approve a purchase order in Coupa.
- Collect the close-out documents for a site project in Procore into one Box folder for the asset owner.
When the reader is an auditor
Regulated work needs answers that someone can check later. The agent names every file it used, so a reviewer can open the same evidence. Each person approves their own agent, owners and admins choose which roles may upload, move or share files, and the activity log records every request in a form you can export for your own auditors.
