Freshservice is the IT and enterprise service management tool from Freshworks. Teams handle incidents, service requests from a catalogue, changes and problems, and keep a CMDB of assets. Many organisations also use it beyond IT, for facilities, HR and operations requests. Building issues come in through the same portal as laptop requests. Then a coordinator copies them into a maintenance system, waits for the technician and chases updates back to the requester by hand.
Agentic CMMS gives Claude, ChatGPT and other AI agents access to Freshservice and your maintenance systems together. Facilities coordinators triage, create the work and answer requesters without the copying.
What your AI agent can do with Freshservice
- Triage new tickets. "What came into the facilities group since 08:00, and which tickets are urgent?"
- Raise tickets. "Log a ticket for the broken door closer on the third floor, requested by Priya."
- Reply and add notes. "Reply to the requester that the heating engineer is on site this afternoon, and add a private note with the contractor's reference."
- Track service requests. "Which catalogue requests for desk moves are still waiting for approval?"
- Check the CMDB. "Which assets in the Leeds office have tickets open against them?"
- Watch SLAs. "Which tickets in my group are close to their resolution due time?"
- Find patterns. "Which locations raised the most heating complaints this winter?" The agent counts tickets per location and category, so you can see where a boiler needs more than another quick fix.
- Prepare a handover. "Summarise every open facilities ticket for the weekend cover team, grouped by building."
Freshservice with your other systems
- Turn a facilities ticket into a work order in Limble CMMS or eMaint, then reply to the requester with the planned date.
- Compare Freshservice assets with the asset register in Brightly Asset Essentials and list the ones missing from either side.
- Send a list of open urgent tickets to the facilities team in Microsoft Teams at the start of each day.
- Spot when an internal ticket and a customer ticket in Freshdesk describe the same building fault, and answer both at once.
For shared service desks
When IT and facilities share one service desk, the facilities half often has the weaker link to the people who do the work. Tickets sit in the queue while someone decides who owns them. The agent closes that gap: it reads the ticket, finds the asset, opens the job in the CMMS and tells the requester what happens next.
Each person approves their own agent. Owners and admins decide which roles may create or update tickets, and every action is kept in the tamper-evident activity log.
