Outlook is where a surprising amount of maintenance work really happens. Supplier quotes arrive as attachments. OEMs send service reports by email. Contractors confirm visit dates in a reply, and approvals for spending are often just an email that says "OK, go ahead". The calendar holds shutdowns, inspections and contractor visits.

All of it is there, but spread across personal inboxes, shared mailboxes and long threads. Finding the latest quote for a gearbox rebuild can mean searching three mailboxes and opening ten attachments. ## Careful with what goes out

An email sent in your name carries your reputation. That is why the agent drafts by default and sends only when you ask.
