> Give Claude, ChatGPT and other AI agents access to Hippo CMMS work orders, work requests, equipment, PMs and inventory, with per-user approval.

Hippo CMMS is a web-based maintenance system for small and mid-sized facilities: schools, manufacturers, hotels, healthcare sites and property managers. It is known for being easy to set up and for its visual approach, where teams find equipment on floor plans and site maps. Work orders, requests, preventive maintenance and inventory all live in one place. Even so, the manager who wants a quick number still has to click through it.

Agentic CMMS gives your Hippo CMMS account an MCP server. Your team can ask Claude, ChatGPT or another AI agent about work orders, equipment and parts in plain language. An approved agent can also log requests and record work. You connect Hippo once on the Connect page. The credentials are checked against Hippo and stored encrypted.

## What your AI agent can do with Hippo CMMS

- **Find equipment by place.** "List the equipment in the north building's mechanical room, with any open work orders." The agent filters equipment by location first.
- **Log a request for a colleague.** "Submit a request for the conference room projector: no signal from the wall port." The request goes into the normal Hippo queue.
- **Plan the week's PMs.** "What preventive maintenance is scheduled for this week, and is any of it already overdue?"
- **Close a work order.** "Complete my work order on the walk-in cooler with one hour of labour and a note that the fan motor was replaced."
- **Count the spares.** "How many ballasts and LED tubes are in the maintenance store, and which ones are below minimum?"
- **Answer the owner's question.** "How many work orders did we close last month, and what was the average time to complete?" The agent counts the closed work orders and works out the average.
- **Review a machine.** "Show everything done on Packing Machine 2 in the past year."

## Hippo CMMS with your other systems

A small team rarely has one system for each job. Hippo sits next to accounting, a few cloud folders and a chat app. Connect them and the agent answers across all of them:

- Match supplier invoices in [QuickBooks Desktop](/integrations/quickbooks-desktop) with the Hippo work orders they paid for.
- Compare the tool and spare counts in [Sortly](/integrations/sortly) with Hippo inventory before you reorder.
- Find a warranty certificate in [Dropbox](/integrations/dropbox) and add the link to the equipment's open work order.
- Post a daily list of urgent Hippo work orders to the facilities space in [Google Chat](/integrations/google-chat).

## Maintenance help without a planner

Hippo teams are often two or three people who do the planning, the work and the reporting. An agent takes the reporting off their desk and puts a quick answer in their pocket. Each person approves their own agent, owners and admins choose which roles may use each Hippo tool, and every call is kept in the activity log.

## Questions and answers

### Is Hippo CMMS a good fit for an AI agent if we are a small team?

Yes. Small teams gain the most, because nobody has time to build reports. The agent answers questions about work orders, PMs and parts directly from your Hippo data.

### Can ChatGPT find equipment by where it sits in our building?

An approved agent reads the location of each equipment record in Hippo, so you can ask for everything in the east wing or on the second floor and get the list.

### Can staff who are not technicians submit Hippo requests through Claude?

Yes, if an owner or admin gives their role the request tool. Their agent creates the work request in Hippo, and the maintenance team reviews it as usual.
